Code for Science & Society is accepting applications for an experienced and innovative Administrative Assistant to join the Fiscal Sponsorship (FSP) Team. This part-time position will work 25 - 28 hours per week 9:00 am - 2:00 pm PT Monday through Friday, and will support the Fiscal Sponsorship team, bringing a wide range of administrative skills and expertise to the organization.
This role provides comprehensive administrative and operational support to ensure efficient, compliant, and well-coordinated organizational operations. The position is critical in supporting projects, maintaining systems, and facilitating effective communication across internal and external stakeholders.
Requiring project and workflow management skills, the opportunity manages competing priorities, tracks requests, approvals, and deliverables, and supports multiple projects and deadlines simultaneously. This individual contributes to smooth operations by maintaining organized records and ensuring timely follow-through.
The role requires a keen attention to detail, strong systems and technical proficiency, including the ability to work within organizational platforms, track information accurately, and support process improvements. Collaboration and teamwork are essential, as this individual works closely with cross-functional teams to achieve shared goals and maintain operational continuity.
Administrative & Operational Support
Serve as a primary administrative contact for fiscally sponsored projects, responding to routine inquiries and directing complex matters to appropriate staff.
Maintain organized and accurate records for FSP agreements, onboarding documents, compliance files, and project correspondence.
Coordinate onboarding and offboarding processes for fiscally sponsored projects, ensuring timely completion of required documentation.
Schedule meetings, prepare agendas, and draft correspondence related to fiscal sponsorship activities.
Compliance & Risk Management
Adherence to internal controls, policies, and procedures
Ability to monitor documentation for completeness and compliance
Discretion in handling confidential financial and personnel information
Project & Workflow Management
Ability to manage competing priorities across multiple projects and deadlines
Strong organizational and time-management skills
Experience tracking requests, approvals, and deliverables

Physical Requirements:

The FSP Administrative Assistant will report to the Director of Fiscal Sponsorship. CS&S is a remote-first organization, with team members and contractors located around the world. We foster a flexible, inclusive, and collaborative work environment where staff members are empowered to drive impact while maintaining work-life balance. We offer a competitive salary within the range of $30 - $35 per hour for 25 - 28 hours per week, 25 hours of paid time off (PTO), and five days of sick time.
